Businesses that sell ongoing services or products need a clear way to track each customer’s plan, billing interval and contract status. Odoo Subscriptions connects recurring sales with related customer and sales records, from initial setup through quotation confirmation. This guide explains what the module does and how a subscription becomes active.
What Is the Odoo Subscriptions Module?
Odoo Subscriptions is an application for managing products and services sold on a recurring basis. It connects recurring plans with sales orders and customer records, helping teams track active subscriptions and upcoming renewals. Depending on how products and workflows are configured, businesses can use it for services, memberships or physical subscription products.
In this article, “subscription” means a recurring agreement that a business sells to its customer. It is different from the license or plan a business pays for to use Odoo.
How the Odoo Subscriptions Workflow Works
The workflow begins with the recurring terms and products, then moves to a customer quotation. When the customer accepts and the quotation is confirmed, Odoo creates a sales order. If the order includes a recurring plan, it becomes a subscription.
Set up recurring plans and subscription products
A recurring plan defines how often a subscription renews, such as monthly or yearly. It can also include terms such as when the subscription closes if payment is not received.
Set up the subscription product with its recurring price and any relevant price rules.
Products can represent services or, with the appropriate configuration, physical goods.
For repeatable offers, a quotation template can prefill standard subscription products and terms, helping the sales team prepare consistent proposals.
Create a quotation and activate a subscription
Create a quotation in the Sales or Subscriptions app, then select the customer, subscription product and recurring plan. When the quotation is confirmed, a sales order with a recurring plan becomes a subscription.
If subscription products are published in Odoo eCommerce, online sales can also create and confirm subscription quotations, depending on the configuration. For a broader look at storefront setup, checkout and order workflows, read A1 Consulting’s Odoo eCommerce implementation guide.
Manage Renewals, Upsells and Subscription Status
Odoo keeps renewal, upsell and closure activity linked to the existing subscription, so teams can manage changes without losing the sales history.
Handle manual and automatic renewals
Renewals can be processed automatically or handled manually, depending on the subscription setup. For a manual renewal, the original subscription must be a confirmed sales order with a recurring plan, and its initial invoice and payment must be registered. The Renew action creates a linked quotation for review and confirmation. Automatic renewal follows the recurring terms; automatic payment collection depends on the payment setup described below.
Upsell products or services
Use Upsell to create a quotation linked to an existing subscription and add products or services to the recurring order. The original subscription must have been invoiced before it can be upsold. After the customer approves the quotation and the sales order is confirmed, Odoo adds the new items to the subscription.
Pause, resume or close a subscription
Odoo distinguishes paused subscriptions from those that are closed or marked as churned. Available pause and resume actions depend on the Odoo version and configuration. Closing ends a subscription and records its closing date and reason; a subscription that has not yet been invoiced may need to be cancelled instead.
Odoo Subscription Payments: Invoices and Automatic Charges
Recurring invoices and automatic charges are related, but they are separate steps. Odoo can generate an invoice on the recurring schedule; automatically charging the customer also requires a supported payment provider and a saved payment token. Without a valid token, the customer can pay the invoice through an available payment method.
For more detail on payment providers, saved payment methods and recurring charges, see A1 Consulting’s guide to Odoo online payments.
Recurring invoices versus automatic charges
A recurring invoice records the amount due for a billing period. An automatic charge uses the saved payment token to request payment from the customer’s provider. Generating an invoice alone does not mean the customer has been charged.
Payment tokens, failed payments and follow-up
A payment token lets Odoo request later charges without asking the customer to enter payment details each time. If an automatic payment fails, Odoo may mark the sales order Payment Failure and place the contract in an exception state, stopping scheduled actions. Check the provider transaction and the order chatter first to confirm whether the payment actually went through. Resolve the payment issue and clear the exception according to the configured workflow before automatic processing resumes, helping prevent a duplicate charge.
Track Recurring Revenue and Customer Retention
Odoo’s subscription reports show recurring revenue and customer trends across four views: Subscriptions Analysis, Retention Analysis, MRR Breakdown and MRR Analysis. Teams can compare active subscription changes, MRR and ARR over time, then filter by factors such as plan or sales team to investigate where revenue or retention is changing.
Implementation Considerations for Odoo Subscriptions
Before configuring the app, agree on how subscription terms should work across Sales, Finance and customer support. Define who owns plan changes and payment issues, how exceptions such as early cancellation or billing disputes are handled, and what managers need to see in reports.
Test a representative subscription from customer approval through invoicing and closure. Include the payment provider and any eCommerce or accounting connections in the test, so teams can check that records and responsibilities carry through the full process.
Frequently Asked Questions
How does the Odoo Subscriptions module work?
Odoo Subscriptions links recurring products and plans to sales orders and customer records. Teams use it to manage subscription activity, recurring invoices, renewals and performance reports.
Does Odoo automatically charge recurring subscription payments?
It can, when a compatible payment provider supports tokenization and the customer has a saved payment token. A recurring invoice by itself does not mean the payment has been automatically collected.
Can customers renew, pause or close their subscriptions?
Customers can renew or close a subscription through the portal when the relevant self-service options are enabled on the recurring plan. Pause availability depends on the Odoo version and configuration.
Can Odoo create subscriptions through eCommerce?
Yes. Once subscription products are configured and published, customers can purchase them through an Odoo eCommerce shop. The resulting subscription quotation is handled in the Odoo backend.
